SCHEDULE
Full Time
To be effective, an individual must be able to perform each job duty successfully.
- Ensures that support services to the Senior Vice Presidents and Personal Manager are accomplished in a timely, confidential/secure and professional manner.
- Assists the Senior Vice President Team with scheduling and coordination of meetings including room reservation, Outlook appointments, agendas, room and A/V preparation and ordering of food as applicable.
- Attends and records minutes of various department and committee meetings as requested. Distributes and properly archives completed minutes in a timely manner.
- Schedules annual visits to all branches with Branch Admin SVP, COO, CEO and Branch Managers. Sends reminders and sets up hotel reservations when applicable.
- Assists with travel arrangements and conference registrations including setting up rental car reservations after finding the best price option. Maintains an updated travel profile on each SVP.
- Attends and take minutes for two West Jordan Governmental meetings. Distributes and properly archives completed minutes in a timely manner.
- Provides assistance with miscellaneous reports as requested and distributes reports. Creates and coordinates power point presentations for group events. Proofreads these and other documents for accuracy.
- Assists with employee advocacy fund and other governmental affairs tasks as needed.
- Completes the monthly corporate Visa reconciliation for the SVPs and submits to Accounting on or before the due date. Ensures their corporate Visa cards are renewed timely. Reconciles Hampton Inn and Huddart Floral accounts.
- Assists SVPs in recognition of staff life events by ordering flowers, birthday cards, catering etc.
- Performs other duties as assigned.
KNOWLEDGE, SKILLS, and ABILITIES

Experience
Three to five years of similar or related experience.
Education
Equivalent to a two-year college degree or completion of a specialized course of study at a business or trade school.

Current driver’s license valid in Utah.
Computer/Office Equipment Skills
Advanced skills with Microsoft Office Suite including Outlook, Word, PowerPoint, Excel and Adobe Acrobat Professional.
Managerial Responsibility
Have no supervisory/managerial responsibilities
Other Skills and Abilities
Excellent presentation, listening, interpersonal, written and oral communication skills.
An understanding of communication principles, organizational development models, business, and managerial practices.

Ability to stand, walk, and use hands to handle or reach occasionally
