Job Description:

   

We are seeking an Executive Assistant and Chief of Staff to support, Maeve Culloty, Executive Vice President, President and CEO of HPE Financial Services.

Responsibilities:

  • Works with multiple issues/projects and has the experience/ability to support multiple project administrative requirements.
  • Excellent organizational skills and the ability to perform and prioritize multiple tasks and deadlines, with attention to detail
  • Strong organizational skills; this role requires orchestrating many diverse elements and a critical attention to deadlines and timing.
  • Experience successfully working on multiple issues/projects simultaneously.
  • Works on assignments that are highly complex in nature where a strong degree of initiative and problem solving is required.
  • Strong emotional intelligence, interpersonal skills and the ability to build relationships with peers and stakeholders
  • Good judgment and discretion, ability to respect confidentiality.
  • Harnesses conflict creatively as an opportunity to better understand and/or improve a situation or relationship and effectively resolve outstanding issues.
  • Defines the metrics required to measure business performance, and compares actual data to forecasted values.
  • Works with cross-functional teams to facilitate the data collection and performance measurement process and escalate issues as necessary.
  • Analyzing and summarizing information clearly and concisely
  • Demonstrated business acumen and technical knowledge within area of responsibility.

  • Applying extensive knowledge of job skills, company policies and procedures to complete sometimes complex, specialized assignments/tasks in creative and effective ways

  • Support with travel, scheduling, organization, and general operations. The ability to thrive in a fast-paced environment, anticipate needs, prioritize workstreams, and contribute to our team culture and operational excellence.
  • Actively manage calendars and daily schedules, prioritizing competing meeting requests, tracking action items and commitments, while maintaining balance in schedules.
  • Arranges detailed travel plans and itineraries, anticipating needs, managing preferences, and adapting to evolving schedules and requests.
  • Coordinate leadership team meetings, both virtual and face to face, which would include development of the agenda, taking minutes, and distributing necessary information back to participants.
  • Complete various administrative tasks including maintaining departmental listings, distributions lists, Slack channels, subscriptions, expenses, supplies, and equipment.
  • Excellent organizational skills and the ability to perform and prioritize multiple tasks and deadlines, with attention to detail
  • Proficient in Microsoft Office (Outlook Word, Excel and PowerPoint), SharePoint skills a plus
  • Ability to learn and manage multiple internal tools and platforms (SharePoint, Slack, travel tools, etc.)
  • Support the administrative and logistical aspects of key initiatives
  • Effectively organizes, drives and controls virtual and face-to-face meetings such that agenda and action items are clearly understood by participants, and meeting outcomes are productive

Education and Experience Required:

  • High school education or equivalent; some college level education highly preferred.
  • Typically requires a minimum of 9+ years general administrative experience, or equivalent combination of experience and college level education.

USD Hourly: $42.98 - $99.28
