Job Overview
As an Executive Assistant, you will provide executive administrative support, with primary responsibilities including managing travel and expense management needs, scheduling meetings, maintaining calendars and files, coordinating offsite group meetings, generating correspondence, and other special projects as assigned. This role requires in-office work a minimum of three days per week.
Responsibilities:

Handle all day-to-day responsibilities for multiple Senior Vice Presidents. This includes and is not limited to scheduling and coordinating meetings and other general administrative functions.

Calendar all meetings and keep executives current with any changes

Schedule meetings and manage logistics for occasional offsite group meetings; coordinate food and beverage orders when applicable.

Moderate level of travel coordination: arranging all aspects of travel including air, lodging, and transportation in conjunction with the corporate travel department.

Management of expenses: organize receipts and input in Concur promptly to ensure meeting the billing schedule.

Serve as a go-to resource for executives and other staff members.

Create solid working relationships with other administrative staff and others within the department

Work professionally with senior executives and clients, think and work independently, be proactive, handle confidential information, and work effectively and efficiently.

Other ad hoc projects as assigned.

Requirements:

Minimum of 3 years’ experience in concurrently supporting multiple senior executives

Demonstrates excellent active listening skills to fully understand client needs

Exceptional travel arrangement experience with proven success working across time zones

Exceptional knowledge of all Microsoft applications – Outlook

Interact well with peers, senior managers, and other staff in the department

Excellent organizational and customer service skills

Must be proactive in meeting and exceeding the needs of the leader and handle confidential information

Ability to meet deadlines and multi-task in a fast-paced environment

Pay Range:
$28.27-$47.12/hour
Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
