JT4, LLC provides engineering and technical support to multiple western test ranges for the U.S. Air Force, Space Force, and Navy under the Joint Range Technical Services Contract, better known as J-Tech II. JT4 develops and maintains realistic, integrated test and training environments and prepares our nation's war-fighting aircraft, weapons systems, and aircrews for today's missions and tomorrow's global challenges.
JOB SUMMARY - ESSENTIAL FUNCTIONS/DUTIES
JT4 is seeking an experienced and highly organized Executive Administrative Assistant. The executive administrative assistant to the JT4 President will provide comprehensive support as well as other executive team members. The ideal candidate will be an excellent problem solver who excels at communication, organization and planning. Our executive administrative assistant plays a key role in meeting our organizational goals and upholding our values.
Employee will be responsible for the following functions/duties:
- Serve as the primary point of contact between executives and internal/external
visitors - Answer phones and relay messages to the President
- Manage calendars, schedule meetings and coordinate travel
- Anticipate executive needs proactively
- Organize and prioritize incoming requests
- Handle confidential information with a high level of discretion
- Maintains, gathers and correlates operating reports such as time-and-attendance records, terminations, new hires, transfers, records of performance, security and other personnel data
- Handles scheduling of conference rooms
- Perform general administrative duties, such as filing documents and reporting.
- Plan company off-sites and executive retreats
- Issues operating policies and reviews and answers correspondence
- Completes routine assignments in accordance with established policies and procedures
- Performs related work as required
DESIRED QUALIFICATIONS
This role is responsible for providing administrative support for all departments in various clerical functions and staff tasking to meet critical deadlines.
The Executive Administrative Assistant must be detail-oriented, have great problem
solving/analytical skills, multi-tasked, and a passion for supporting all executive staff.
- Ability to manage sensitive information with discretion and integrity
- Order office supplies
- Supporting the printing, filing and distribution of certificates for the executive team
- Proof reading documents for the President
- May be required to support JT4 offsite marketing events
- Proficient in Microsoft Office Suite
- Support Senior Level Staff
- 10+ years of experience
REQUIREMENTS - EDUCATION, TECHNICAL, AND WORK EXPERIENCE
An associate's degree in business administration, management, a similar discipline, or equivalent combination of formal training and seven or more years of experience in an administrative capacity are required for this position.
In addition, an Administrative Assistant IV must possess the following qualifications:
- Proficient in the use of the Internet, personal computers, word processing, spreadsheet and graphics/presentation software, and other commonly used electronic communication tools
- Excellent verbal and written communication skills
- Excellent planning/organizational skills.

WORKING CONDITIONS
Work is performed in a typical office environment. Some walking, stooping, bending, climbing stairs, stretching, and lifting (up to 25 pounds) is required for purposes such as gathering supplies.
Travel to remote company work locations may be required.

Ranges supported by JT4 include the Nevada Test and Training Range (NTTR), the Space Test and Training Range (STTR) at Schriever Air Force Base, the Utah Test and Training Range (UTTR), the Air Force Test Center 412th Test Wing (412TW) at Edwards Air Force Base, and the Navy China Lake Ranges (CLR) including Pt. Mugu, California.
