Our Sales Operations team is seeking a skilled and collaborative Salesforce Administrator to quickly step into a mission-critical role. You will own our Salesforce instance from top-to-bottom and be responsible for its day-to-day configuration, support, maintenance, and improvement. You will work closely with Sales, Operations, Finance, Marketing, and Engineering to identify, develop, and deploy new business processes. Success in this role requires extensive knowledge of Salesforce system administration and the ability to work in a fast-paced, agile environment where change and growth are the expected norm. The primary focus of this role will be to leverage your extensive skillset to enable others to do their best work and to enable the organization to learn more about itself. This role is part technical project manager, part system administrator, part data analyst and is 100% in service of our mission to empower students and institutions to create meaningful connections, make informed decisions, and achieve their goals. 

Role Progression and Impact

  • Within 1 month, you will be actively managing users and features in Salesforce while learning about our business and culture and establishing connections to the teams that have a stake in the system. 
  • Within 3 months, you will be actively developing new features and functionality in the system, and documenting important processes, data structures, and suggestions for enhancements to answer unmet needs. 
  • Within 6 months, you will have a solid understanding of the variety of ways Salesforce is used both by individuals as well as the systems it connects to. You will bring innovative ideas for more effective, scalable use of the system, and will have a hand in building both the short- and long-term roadmap. 
  • Within 12 months, you will have played a critical role in taking Encoura’s business to the next level, ensuring that our systems and processes continue to improve and positioning our Salesforce instance to continue to make leaps forward in usability, reliability, and interpretability. 

Key Duties and Responsibilities

  • Serve as primary system administrator for a Salesforce environment with 150+ users 
  • Plan, design, and execute on continual improvement of an instance with 15 years of history to optimize its use by the organization and enable the business to scale faster and more effectively 
  • Test changes in sandboxes to ensure that possible downstream impacts to any changes are addressed proactively, keeping our systems in good working order 
  • Handle all basic administrative functions including user maintenance, modification of page layouts, generation of reports and dashboards, creation of new fields and other routine tasks 
  • Take ownership and gather detailed requests for improvements to the system from stakeholders of all kinds 
  • Automate processes using Salesforce tools such as flows, process builder, approval processes, Apex, validation rules, etc. 
  • Manage less complex Salesforce integrations, such as those not handled by an Engineer or Consultant 
  • Identify, install, and maintain appropriate apps from AppExchange as needed 
  • Train new hires and grow the Salesforce skill set across the organization with primary focus on Sales 
  • Document processes, customizations, error reports and changes to field history tables 
  • Manage Salesforce roles, profiles, sharing rules, workflows, and groups 
  • Handle bulk data operations such as multi-record imports, updates, or deletes 

Skills and Experience

  • Certified Administrator or Advanced Administrator with 2+ years of relevant experience, or Bachelor’s degree with 5+ years of experience as a Salesforce Administrator 
  • Experience with Classic and its limitations a must, familiarity with Lightning and the transition process a big plus 
  • Strong understanding of the Salesforce platform, with the ability to build custom apps, objects, fields, processes, and layouts 
  • Experience working with Salesforce in an environment that includes an API aggregator for supporting 3rd-party platforms 
  • Experience reading & maintaining Apex, Python, or other object-oriented language preferred 
  • Familiarity with writing SOQL or SQL statements a plus 
  • Excellent project management skills and a positive attitude 
  • Demonstrated ability to meet deadlines, and handle and prioritize simultaneous requests 
  • Creative and analytical thinker with strong problem-solving skills 
  • Ability to understand, articulate, and document complex processes 
  • Track record of effective communication at all levels of an organization 
  • Interest in training end users on best practices and collaborating with them on designing improvements 
  • Eye for critically evaluating and prioritizing information gathered from multiple sources to reconcile conflicts 
  • Ability to assess the impact of new requirements on Salesforce and other integrated systems
