Job Description- Maintain and control all project documents, drawings, and correspondence in accordance with company procedures.
- Ensure proper document numbering, filing, tracking, and distribution systems are maintained.
- Receive, register, and distribute incoming and outgoing documents.
- Maintain updated logs for: Drawings RFIs Submittals NCRs Material approvals Technical submissions Correspondence
- Ensure only latest approved revisions of drawings and documents are available at site.
- Coordinate with engineers, consultants, contractors, and project teams for document submissions and approvals.
- Upload and manage documents through client systems and EDMS platforms.
- Track pending submissions and follow up for approvals and responses.
- Maintain hard copy and electronic filing systems for easy retrieval of records.
- Prepare transmittals for document submissions and distribution.
- Archive superseded and obsolete documents according to project procedures.
- Ensure confidentiality and security of project records and company documents.
- Assist project team in preparation of reports, presentations, and project documentation.
- Support QA/QC team in maintaining quality records and inspection documents.
- Maintain accurate records of shop drawings, method statements, and material submittals.
- Coordinate document flow between site office, head office, consultant, and client.
- Prepare weekly and monthly document status reports.
- Ensure compliance with project document control procedures and ISO standards.
- Monitor deadlines for submissions and maintain document turnaround tracking.
- Assist during audits by providing required documentation and records.
- Maintain attendance records, staff documents, and administrative files if required.
- Ensure all handover documents and close-out records are properly compiled and archived.
- Diploma or Bachelor’s Degree in a relevant field
- Minimum 7+ years of experience as a Document Controller on UAE infrastructure projects (DM, RTA, or similar)
- Strong knowledge of document control processes, including drawings, RFIs, submittals, NCRs, and material approvals
- Experience managing EDMS/Aconex, document tracking, transmittals, and revision control
- Ability to ensure latest approved documents are maintained and properly distributed
- Proven coordination skills with engineers, consultants, and contractors
- Experience supporting QA/QC documentation and maintaining project records
- Proficient in MS Office with strong organizational and communication skills
