How will you make an impact?

Responsible for the daily and contributing to the long-term strategic management of software and IT hardware assets within the organization. This includes planning, monitoring, and recording of IT assets and related procurement and use documentation to ensure compliance with vendor contracts, and industry compliance. Design and execute asset management policies, procedures, and processes. You will assist in forming procurement strategies to optimize technology spend across the organization, as well as develop, implement, and enact procedures for tracking company assets to oversee quality control throughout their lifecycles. Additional responsibilities include:

  • Work as the Software and Hardware Asset Manager to raise awareness and execute SAM and HAM processes and policies across the organization through communication with and education of stakeholders
  • Responsible for documenting and managing lifecycle of software and hardware assets from creation to retirement and disposal
  • Procures software and hardware assets and related contracts with assistance from Vendor Management department.
  • Maintains documented inventory of software, hardware, and IT contracts within our Asset Management system and including proofs of purchase, costs, usage, and compliance / contract language.
  • Develop and utilize asset control processes to monitor software & hardware assets, accountability identification, maintenance, and associated contracts.
  • Contributes to the development and implementation of enterprise-wide software & hardware asset management policies and procedures to minimize compliance risk, enhance the program, and create process efficiencies
  • Contribute to contract negotiation, manage contract renewals and vendor management activities with our Sourcing Vendor Management department
  • Provides support during software publisher audits. Assists with dispute resolution. Recommends audit defense initiatives
  • Monitor software licenses to ensure they comply with license agreements and usage standards
  • Effectively communicates changes in software contracts to stakeholders
  • Collaborate with IS managers to define cost savings, budget plans, and asset compliances
  • Collaborates with Accounts Payable as needed to reconcile vendor invoices to the contracts
  • Effectively collaborates and communicates the financial impact of IT Asset maintenance renewals as changes are made over the life of a contract
  • Provide KPI/Metric information and standardized reporting on a scheduled or on demand basis
  • Verify software assets with license contracts, confirm software asset entitlements with installs, and initiate corrective actions and track variances
  • Manage activities concerning license compliance audits



Do you have what it takes?

  • Technical User understanding of ServiceNow application, specifically ServiceNow Asset Management Modules expertise preferred.
  • Strong knowledge of software publishers' buying programs, licensing models and software deployment and use rights (e.g., Microsoft, Adobe, Oracle, VMware, IBM, etc.)
  • Demonstrated experience with Software Asset Management practices including understanding of license compliance
  • Proven ability and experience in executing strategic asset management processes successfully
  • Ability to identify problems and procedural irregularities, collect data, establish facts, draw valid conclusions, discern root cause, and formulate an action plan
  • Experience with Workday Procurement Process is a plus
  • Experience with ITIL framework is a plus
