Job Description:

General Description:

The Business Operations Coordinator plays a crucial role in supporting a wide range of business operations to ensure efficient and smooth execution of tasks within the company. This position primarily involves contract management, payment processing, materials management, meeting arrangements, and expense management.

Main Responsibilities:

Contract Management

  • Drafting and managing contracts with various vendors.

  • Preparing confidentiality agreements, drafting contracts, and overseeing contract processes.

  • Processing and managing invoices.

  • Managing contracts and payment procedures with Healthcare Professionals (HCPs).

System Management

  • Managing contract-related information using systems like Ariba, Docusign, and Smartsheet, SAP Purchase Orders.

  • Ensuring accuracy and consistency of data related to contract procedures.

Materials and Travel Arrangement Management

  • Handling materials management tasks within the marketing and sales departments.

  • Coordinating travel arrangements for HCPs and other stakeholders.

  • Managing travel-related documentation, such as taxi tickets, and ensuring data accuracy and consistency.

Meeting and Training Support

  • Supporting meeting room arrangements, event coordination, and contract procedures for meetings, trainings, and other events.

Expense and Data Management

  • Executing expense management tasks and related procedures.

  • Providing comprehensive support for Sales Operations tasks.

Data Management

  • Managing data related to actual sales consumption, including EX-WS.

  • Managing data within the EPPV system.

  • Managing data within the BeCE system.

Qualification Required:

Experience & Qualifications:

  • Bachelor of Business Administration or similar commercial related discipline

  • 5+ years prior general administration / executive assistant experience, preferably in fast-growing mid-sized organizations (pharmaceutical/biotech industry experience is preferred)

  • Excellent written and spoken English skills.

  • Work independently and make sound judgement.

  • Exercise high level of integrity and confidentiality at work.

  • Strong can-do attitude, with great sense of ownership and accountability

  • Efficient, manage workloads well, enjoy working under fast-paced & dynamic environment.

  • Proactive with excellent time management and organization skills

  • Strong interpersonal and communication (verbal and written) skills.

  • Attention to details with high quality of work is key.

  • Action and goal oriented

  • Flexible mind-set, team player, collaborative spirit

Computing Skills & Technology:

  • Proficient in MS Office (Words, Excel, PowerPoint, Outlook)

  • Proficient in Collaboration tools such as Teams, One Drive, SharePoint and Zoom.

  • Working knowledge of Concur, SAP Purchase Orders, Workday, DocuSign.

  • A quick learner to new technology and app.

  • Adobe Illustrator, Photoshop, In Design, Premiere Pro skills an advantage.

  • Ability to perform in a multitasking environment.
