THE POSITION  

We are seeking a motivated Billing & Operations Specialist to join our team and play a critical role in supporting our Customer Billing, Operations, Sales, and Customer Success functions. This cross-functional position ensures smooth operational workflows, accurate data management, and an exceptional experience for both our customers and internal teams. The ideal candidate is detail-oriented, process-driven, and eager to learn in a fast-paced environment. 

WHAT YOU DO

Customer Billing Support: 

  • Oversee all aspects of subscription billing, including subscription changes, invoice generation, and monthly reconciliation. 

  • Serve as the primary point of contact for customer billing inquiries, ensuring prompt, clear, and professional communication. 

  • Manage billing disputes, adjustments, and escalations in collaboration with leadership. 

  • Monitor accounts receivable, track payment status, and follow up with customers regarding outstanding balances. 

  • Maintain accurate billing records and document all changes that contribute to company KPIs. 

  • Provide leadership with regular reporting on billing trends, collections, and risk 

Sales Operations: 

  • Provide administrative and process support to the sales team. 

  • Assist with CRM data entry and create and update CRM reporting. 

  • Manage, prepare and organize contracts, order forms, and related documentation.

  • Partner with sales representatives to streamline overall deal operations. 

Customer Success Operations: 

  • Provide administrative and process support to the customer success team. 

  • Track customer contract renewal dates and associated billing milestones. 

  • Monitor customer billing issues and flag potential risks for follow-up 

General Operations: 

  • Act as the first point of contact for compliance-related inquiries, ensuring timely resolution of ticket or escalation 

  • Track and reconcile revenue generated through partnerships, affiliates, and resellers. 

  • Process partner payouts and provide accurate monthly reporting based on partner  

  • requirements. 

  • Maintain and improve process documentation, policies, and best practices. 

  • Generate regular reports and dashboards for leadership visibility. 

  • Identify and recommend improvements to increase efficiency and scalability.

WHAT YOU BRING: 

  • 1–3 years of experience in operations, sales support, or billing support. 

  • Excellent attention to detail and organizational skills. 

  • Excellent written and verbal communication skills, with experience in customer-facing interactions. 

  • Ability to manage multiple priorities and adapt in a dynamic environment. 

  • Proficiency with CRM systems (e.g., Salesforce) and billing platforms. 

  • Strong Google Workspace skills with the ability to analyze, present, and report on data. 

  • A self-starter who thrives in collaborative environments. 

  • An individual who balances efficiency with accuracy. 

  • A team player passionate about supporting colleagues, customers, and partners. 

  • Workspace: A quiet space to work, an internet connection of at least 30 Mbps download | 10 Mbps upload.
