THE POSITION
We are seeking a motivated Billing & Operations Specialist to join our team and play a critical role in supporting our Customer Billing, Operations, Sales, and Customer Success functions. This cross-functional position ensures smooth operational workflows, accurate data management, and an exceptional experience for both our customers and internal teams. The ideal candidate is detail-oriented, process-driven, and eager to learn in a fast-paced environment.
WHAT YOU DO
Customer Billing Support:
Oversee all aspects of subscription billing, including subscription changes, invoice generation, and monthly reconciliation.
Serve as the primary point of contact for customer billing inquiries, ensuring prompt, clear, and professional communication.
Manage billing disputes, adjustments, and escalations in collaboration with leadership.
Monitor accounts receivable, track payment status, and follow up with customers regarding outstanding balances.
Maintain accurate billing records and document all changes that contribute to company KPIs.
Provide leadership with regular reporting on billing trends, collections, and risk
Sales Operations:
Provide administrative and process support to the sales team.
Assist with CRM data entry and create and update CRM reporting.
Manage, prepare and organize contracts, order forms, and related documentation.
Partner with sales representatives to streamline overall deal operations.
Customer Success Operations:
Provide administrative and process support to the customer success team.
Track customer contract renewal dates and associated billing milestones.
Monitor customer billing issues and flag potential risks for follow-up
General Operations:
Act as the first point of contact for compliance-related inquiries, ensuring timely resolution of ticket or escalation
Track and reconcile revenue generated through partnerships, affiliates, and resellers.
Process partner payouts and provide accurate monthly reporting based on partner
requirements.
Maintain and improve process documentation, policies, and best practices.
Generate regular reports and dashboards for leadership visibility.
Identify and recommend improvements to increase efficiency and scalability.

WHAT YOU BRING:
1–3 years of experience in operations, sales support, or billing support.
Excellent attention to detail and organizational skills.
Excellent written and verbal communication skills, with experience in customer-facing interactions.
Ability to manage multiple priorities and adapt in a dynamic environment.
Proficiency with CRM systems (e.g., Salesforce) and billing platforms.
Strong Google Workspace skills with the ability to analyze, present, and report on data.
A self-starter who thrives in collaborative environments.
An individual who balances efficiency with accuracy.
A team player passionate about supporting colleagues, customers, and partners.
Workspace: A quiet space to work, an internet connection of at least 30 Mbps download | 10 Mbps upload.
