General Description:

This role is key to ensuring that we are “operationally excellent” in planning and execution of key tasks that will drive the performance of the BeOne pipeline of medicines and in maintaining our reputation with external stakeholders as a great company with which to partner.

Reporting to the General Manager UK & Ireland cluster, this individual is responsible for the successful planning and delivery of internal and external projects and events. The duties include performing specialised tasks, managing a team of staff members and establishing relationships with vendors and freelance professionals.

Further responsibilities include developing and maintaining a “library” of planning documents; developing and maintaining dashboards that track performance against key objectives; facilitating efficient communication structures among internal and external project stakeholders; and ensuring information and content flow between interdisciplinary teams; coordinating Lead Team Agendas and follow up; regular reporting to the Cluster Lead Team.

The role entails regular contribution to content work and rolling one’s sleeves up to move administrative tasks forward and solve logjams.

Essential functions of the job:

  • Strong leadership of the Administrative Team members with regards to all administrative tasks e.g. budget, invoicing, contracting, onboarding of new employees, HR projects, internal events and congresses & events
  • Manage other reporting functions within the Administrative Team
  • Guide and direct project team members to ensure compliance with defined standards, procedures and guidelines
  • Develop project plans that identify resource and budgetary needs
  • Manage deadlines and push the team to ensure timelines
  • Provide feedback, advice project updates and encouragement to team members
  • Be the interface and network manager for all relevant topics regarding congresses & events and projects, between the cluster Team and the European/Global team, between the Key account Managers and the office-based colleagues to create and ensure synergies
  • Develop, review and implement administrative systems, policies and procedures
  • Liaise and collaborate with corporate functions as HR, Legal/Compliance, Finance
  • Coordinate internal company events and support team building
  • Coordinate costs/expenses/accruals and stock control for budget preparation
  • Manage and coordinate budget within defined authorization limits
  • Coordinate congress and event planning within cluster closely liaising with key internal stakeholders and establish a high-level service to our external stakeholders
  • Establish realistic goals and implement action plans for achieving agreed objectives
  • Ensure availability of financial and human resources required to successfully complete projects
  • Develop internal communication strategies useful in ensuring communication between various departments of the organization
  • Consistently ensure operating in accordance with BeOne’s Standards of conduct and all applicable local laws and regulations.

Qualifications

  • Experience in Oncology or Haemato-Oncology is highly desirable
  • More than 8 years of qualified work experience in project management and related management areas and demonstrable planning, project management and analytical skills
  • Demonstrated success in a small but fast growing, entrepreneurial commercial environment
  • Highly self-motivated, solution-oriented with an ability to work both with light-touch supervision and as part of a team environment
  • Strong leadership and time, task and resource management skills
  • Success-, service-, and commercial-oriented thinking and working
  • Exceptional communication skills and thought leadership - a problem solver and critical thinker

Education Required: University undergraduate degree in science or business as a minimum; higher qualifications (MD, PhD, MBA) advantageous.  Project Management qualifications would also be highly desirable.

Supervisory Responsibilities:  

  • Manages the Country Coordinator team

Computer Skills:   Standard Computer Skills required

Travel:  Approximately 25% of time
