About the Role
Reporting dually to the Office of the Senior Vice President for Advancement and External Relations and the Senior Director of Corporate and Foundation Relations (CFR), the Advancement Coordinator (General Advancement and Foundation/Corporate Relations) provides a full range of administrative and logistical support to both positions. The role is an integral part of a dynamic Advancement team who last year raised over $95M in operating, programmatic, capital, and endowment funds. Major responsibilities for this position will include a variety of administrative duties, project coordination, supporting the preparation of proposals and reports, and grant and donor record management.
The Coordinator is expected to have strong writing skills and keen attention to detail; be able to work in a fast-paced environment with multiple demands, regularly involving both confidential and time-sensitive materials and information; and perform complex administrative duties requiring the discretion of independent judgment and initiative. This person also interacts regularly with all levels of Huntington leadership, including Trustees, Governors, and Senior Staff.
Essential Functions
Supporting the SVP, Assistant to the SVP, and Senior Director of CFR, provides highly skilled administrative support and interfaces with Board members and donors.
Drafts, edits, and prepares correspondence, gift acknowledgements, and reports.
Coordinates and prepares materials for appointments and meetings, places and responds to telephone calls, and maintains donor files and records.
As assigned, assists the Senior Director of CFR in managing grant proposals, including tracking proposal status and facilitating payments.
Coordinates mailings, solicitations, and benefit fulfillment for the Corporate Partners Program.
Conducts research and prepares comprehensive profiles on existing and prospective donors
Manages prospect and data information, including inputting data into donor database (Raiser’s Edge) and working with the Advancement Services Director to export, synthesize, and analyze data.
Responsible for special projects as assigned by the SVP, Assistant to the SVP, and Senior Director of CFR.
Assists with donor events as needed.
Occasional evening and weekend work will be required.
Other Functions
Shared departmental and other duties as assigned, including occasional evening and weekend work.
Occasionally may operate Huntington vehicle (golf cart) and/or run department-related errands in personal vehicle.
Qualifications
Bachelor’s degree (nonprofit management or similar specialization a plus).
Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), and Photoshop or InDesign.
Proficiency with donor databases including Raiser’s Edge and web-based research.
Outstanding writing skills, with the ability to organize and synthesize complex information succinctly.
Exceptional command of English grammar, proofreading, and editing.
Excellent project management skills, including the ability to establish and monitor priorities and meet deadlines in a fast-paced setting.
Ability to work independently as well as in a team, with a track record of collaborating successfully with program staff.
A valid driver's license and good driving record helpful.
Experience
2 years of nonprofit or related experience.
Experience with budget management, analysis, and planning.
Experience at a cultural or academic institution preferred.
Working Conditions
Office environment, work primarily at a computer.
Some evenings and weekend events will be required.
