Manao Software is looking for a talented and energetic Administrative Assistant to join our team!
If you are detail-oriented, proactive, and enjoy supporting people across the organization, this role might be perfect for you. You will be working closely with our CEO and multiple teams to ensure smooth daily operations in the office from administration, coordination, purchasing, documentation, to managing office supplies, petty cash, and vendor relations.
Requirement:
- Thai nationality
- Bachelor’s degree in business related major
- Minimum 1 year of full-time work experience
- Minimum English level (CEFR/TOEIC): B2/785-940
- Holds a driver's license and owns a vehicle
- Attention to detail and strong multi-tasking skills
- Good communication skills, both written and verbal
- Good problem-solving skills and people management skills
- Extrovert personality
- Strong ethics
Tasks & Responsibilities:
- Take care of reception area, answer incoming phone calls, assist in informing staff when there are visitors, provide drinks & seating for visitors and provide parking stamps for visitors
- Arranges meetings with relevant internal and external relations, assist in scheduling appropriate meeting place and time, assist in meeting room bookings, prepare meeting agendas, take notes during the meeting, and make meeting reports
- Arrange company events, trips and etc
- Find and select vendors, compare quotations, negotiate discounts, contact vendors for details, coordinate with vendors for making purchases, request purchase approvals & make purchases, and create vendor records
- Purchase office supplies, equipment, furniture, snacks, etc
- Open mail & handle it or distribute it to others and make inward and outwards letter book
- Make company announcements on administration issue
- Regularly report task progress to CEO
- Do other personal tasks for the CEO as needed
- Manage cleaners & maintain office plants, divide cleaning areas for the cleaners, provide cleaning supplies, soil, fertilizer & needed equipment and control the cleanliness quality
- Prepare paperwork for copying, signing and mailing
- Receive and check deliveries, follow up Invoice/Tax invoice/ Receipt from vendors pass document to accounting manager, keep stock of office supplies
- Manage petty cash, pay bills, collect company receipts, prepare weekly reports for balance reconciliation and reimbursement
- Record petty cash reimbursement transactions in the Peak software accounting system after verification
- Submit the monthly tax reports for Vat PP36, PND 54, Stamp duty and download all types of tax receipts
- Maintaining and updating company documents, filing documents, and ensuring the secure and confidential storage of sensitive information
- Assisting with data processing and documentation tasks
- Assisting for prepare bank payments
