As an Administrative Assistant III, you will provide high-level administrative support to key leaders within the ENT (Ear, Nose, and Throat) business. You will play a central role in ensuring the smooth and efficient daily operations of the organization. This position requires exceptional organization, a proactive mindset, and the ability to confidently manage multiple, time-sensitive priorities.
You will independently oversee a wide variety of complex administrative and project tasks, demonstrating sound judgment, strong communication, and the ability to anticipate the needs of senior leadership. Core responsibilities include calendar and travel management, expense processing, project coordination, stakeholder communication, and the use of various Medtronic systems and tools.
Responsibilities may include the following, and other duties may be assigned.
Coordinate complex meetings across multiple time zones, including scheduling, agenda preparation, reminders, catering (as needed), driving presentations and capturing notes or action items.
Manage senior leaders’ calendars by scheduling, prioritizing, and adjusting meetings, with a focus on urgent and sensitive matters to maximize executives’ time.
Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
Process and monitor expense reports for leaders and their teams, ensuring compliance with company policies and timely reimbursement.
Route contracts for signature, process invoices, and track the status of critical documents.
Support functional operations within CRMS and Finance by maintaining SharePoint and Microsoft Teams sites, organizing documentation, and coordinating recurring team meetings.
Assist with project coordination by tracking timelines, deliverables, and deadlines, and providing updates to stakeholders.
Compile and prepare reports on projects and budgets, consolidating data from multiple sources under leadership guidance.
Create and format presentations and other communications for both internal and external audiences.
Serve as a key point of contact for internal and external stakeholders, managing inquiries and requests on behalf of senior leaders.
Handle sensitive information with confidentiality and discretion.
Proactively identify and implement process improvements to enhance administrative efficiency.

Must Have (Minimum Requirements)

Requires broad practical knowledge of operational systems and practices typically gained through extensive experience and/or education.
Requires a minimum of 4 years of relevant experience.
Nice to Have (Preferred Qualifications)
Associate degree preferred
Minimum of 6 years’ experience providing administrative support.
Self-motivated with strong time management skills; able to prioritize tasks, manage multiple projects, and perform well under pressure in a fast-paced environment.
Highly organized and detail-oriented; consistently ensures accuracy in spelling, grammar, formatting, and overall document presentation.
Strong verbal and written communication skills with the ability to interact professionally and diplomatically across all levels of the organization.
Proficient in Microsoft Outlook, Teams, Word, Excel, and PowerPoint, with the ability to create tables, charts, graphs, and reports from various data sources.
