The Role
Introduction to the job

As accounts payable specialist, you are working closely with several Finance departments, Procurement, IT and our Vendor Operations team, ensuring prompt and accurate payment of liabilities to vendors, encouraging positive supplier interactions and assuring paid-on-time invoices - all of these processes are highly automated.

You will be responsible for a wide range of activities in the area of accounts payable such as invoice and approval workflow handling, resolving issues, vendor communication, handling customer requests, supporting/leading improvements, and projects and analysis on request including necessary stakeholder management. Moreover, you will act as a process expert, spokesperson and coach for Vendor Operations.

Role and responsibilities

As accounts payable specialist, you will join our Vendor Operations team, which is part of the ASML Business Services (ABS) organization, a shared services organization offering transactional services for Finance, HR&O, Sourcing & Procurement, IT, CRE, and Sales. ABS is supported by a centralized Capability Center, Master Data and Reporting Operations. Vendor Operations offers a wide range of services for the Purchase to Pay processes, ranging from contractor accounts, contract management, purchasing up until accounts payable and providing payments to our suppliers. 

You will execute accounts payable activities in the area of invoice workflow handling, matching to POs, rejection handling, supplier communication such as working with ServiceNow tickets to respond to supplier inquires and requests; contacting suppliers, buyers and employees about questionable items on invoices.

In this role, you will:

  • Provide specialist operations support for a variety of AP activities such as approval workflow, corporate actions and/or activities related to accounting for scope external and intercompany suppliers
  • Support team members in accounting compliance and SOX compliance
  • Participate in process re-design, improvement, documentation and training projects
  • Perform complex AP analysis with knowledge of policies and procedures such as researching invoices by contacting vendors and/or buyers and receiving
Education and experience
  • Bachelor's or master's degree or equivalent experience in accounting/finance or business administration; a professional finance certification is a plus
  • 2-3 years of experience in a financial AP environment
  • Experience with SAP, Oracle or a similar ERP system
  • Accounting, budgeting, planning and analysis experience
  • Experience with Basware or similar scanning application is a plus
  • Previous working experience in a multinational environment is a plus
Skills

To thrive in this role, you will need the following skills:

  • In-depth knowledge of MS Word, Excel, PowerPoint and Teams; additional Microsoft apps knowledge in OneNote, To Do, Planner and Miro is a plus
  • Excellent written and verbal communication skills in English
  • Excellent customer service skills, with an advanced understanding of customer (vendor) relationship building
  • Ability to work with (periodic) deadlines
  • Ability to challenge the status quo in a positive way to achieve optimal results; being able to share your helicopter view and to dive deep into processes and optimize them where possible
  • Collaborating as a team player
  • Ensuring accountability and balancing stakeholders
